Simple Box Pricing - $140.00

We offer our scanning services starting with a Base Price per Standard Banker Box.  Our simple box pricing is Great for Budgets.  

Base Price Includes *

  • Transportation - box pickup
  • Document Prep - Standard level 1 prep includes removing staples, clips, etc.
  • Scanning:
    • Color
    • Duplex - both sides
    • 200 dpi
    • Format - pdf or tif
    • Images: 3,000
    • Documents: 50
  • Index Fields: 50 (up to 25 characters each)
  • Quality Assurance - 3 levels.  We look at EVERY scanned image.
  • Delivery - via a secure, encrypted, password protected portable drive.
  • Destruction - after a 30-day review period, secure Document Destruction is provided by XpresShred
  • Secure Facility - HIPAA Compliant

    * Standard banker box size 10 x 12 x 15.  Pages are assumed to be letter (8 1/2 x 11) or legal size (8 1/2 x 14).  The data  for the index field is found on the parent folder tab or first page of a document.  Standard document prep (Level 1) is no more than a staple or clip per every 25 pages, or approximately 100 staples per box.

    With our onsite scanning services, we can do your scanning project at your location.  We will bring everything that is needed for the project from the equipment, software and even the scan team.  All you need to provide are the boxes of records and the work area, we do all the rest.  Our onsite scanning services are an additional $35 per box.

    Additional Option notes:  

    Level 2 prep is defined as fewer than 1 staple every 10 pages, or approximately 250 staples per box and/or the condition of the pages would require additional care, repair or handling. 

    Level 3 prep is defined as more than 1 staple every 10 pages and/or the condition of the pages would require significantly more preparation than described in Level 2. 

    Record Inventory - we will create a list of each folder name by box number.  This is recommended if you will need record retrievals and the boxes are not clearly marked with the contents.

    OCR - Optical Character Recognition is converting a scanned image to searchable text.  It requires the format be pdf.

    Scanning Terminology

    Small Banker Box Size: 10"H x 12"W x 15"D

    Electronic File - e-file

    Image - is the scanned image of each page. A piece of paper with content on both sides would yield two images. If the page only has content on one side, the blank side is dropped and there is no charge.

    Document - a collection of pages that will be scanned together. A document can also be a single page. Typically, all the pages in a folder are scanned together as a multi-page document, resulting in a single e-file. 

    Index Field - a field containing manually entered data used for naming and searching of the e-file. Example: Data from the folder tab would be considered a field. Examples of additional fields would be Date of Birth, Address, Social Security Number, etc. A single field or multiple fields could be used to name the files. An index field contains up to 25 characters. Typically, the data is found on the parent folder tab or first page of a document. 

    Document Prep
    Level 1 prep is defined as fewer than 1 staple every 25 pages, or approximately 100 staples per box. Level 2 prep is defined as up to 1 staple every 10 pages, or approximately 250 staples per box and/or the condition of the pages would require additional care, repair or handling. Level 3 prep is defined as more than 1 staple every 10 pages and/or the condition of the pages require significantly more preparation than described in Level 2.

    Onsite Scanning - the scanning project would be completed at your site.  We bring everything needed for the project, the laptops, scanners, software, project management software, project manager and scan staff.  You provide the work space.

    Secure Storage

    Storage with an Active Scanning Project

    If you have contracted and scheduled a scanning project with us, we will Store Your Boxes of Records for FREE until your project is completed.  

    After your scanned images have been delivered, your boxes of records will be stored at our climate controlled storage facility for 30 days or until you have had a chance to review the project.  At that time, we will schedule the shredding service to come to our facility and shred the records.  If you decide you would like to us to store your records longer, then the price for storage is $1.00 per box (10 x 12 x 15) / month.

    Storage with a budgeted Scanning Project

    If your budget allows only a set number of boxes to be scanned per month, we will store your and manage your records, including record requests.  As your scanning project progresses, your storage cost will decrease.  For this type of scanning and storage plan, your storage cost will be $1.00 per box (10 x 12 x 15) / month.

    Storage only

    If you would just like to store your records with us, without a scanning project, then your cost will be $2.00 per box (10 x 12 x 15) / month and $15.00 per record request, which includes scanning, encrypting, and emailing the record requested.

    Support Plans

    On Demand Hours

    It's simple, you can Pay As You Go or purchase a block of support hours. 

    $150 per hour.

    Pre-Paid Hours

    This is our most popular plan.  Purchase a Block of Support Hours that never expire.  It allows you to have a predictable cost.

    $75 per hour for a 25 hour block.

    Monthly Plan

    An extra level of support, and with our Monthly Plan we provide just that.  It allows you as a client to have a predictable cost on a monthly basis. 

    Pricing will be at a flat rate per month.  With a monthly support plan, the hourly rate is $50.00 per hour.  The number of hours will determined by project and budget.  Monthly plans start at 10 hours per month minimum.

    Pricing for DOKMEE document management and scanning software is quoted based on your needs.  It is a very affordable software and can be tailored to your needs and budget.
